Running a successful project management process is a goal for many teams and businesses. The excitement of achieving project milestones, delivering high-quality results, and driving organizational success through well-managed initiatives attracts many people to effective project management. However, behind the successful projects and well-executed plans, there are multitude of challenges and intricate details that need to be managed to keep a project on track and ensure it thrives.
The Challenge
Project managers and teams often face an overwhelming workload. From planning and executing tasks to managing resources and meeting deadlines, the responsibilities can quickly pile up. A key challenge in effective project management is ensuring smooth progress across all aspects of the project, which involves clear communication, staying organized, and staying on top of deadlines.
Navigating and coordinating the different parts of a project can be challenging. To achieve desired outcomes, it’s important to keep every team member aligned with the project’s objectives and maintain strong communication throughout the process. Many project managers use tools like Trello, Asana, ClickUp, Todoist, Akiflow, and Airtable to efficiently manage tasks, timelines, and team collaboration. By leveraging these tools, you can keep projects on track and ensure you’re meeting deadlines. Automating manual and tedious tasks and streamlining processes also help reduce the workload, letting you shift your main focus on strategic planning and problem-solving.
How to automate your project management with IFTTT
An IFTTT user, Juan, automates his project management with Todoist to handle three key tasks: creating new tasks, assigning tasks, and managing task communication.
When Juan creates new tasks, there are 3 aspects to it:
New task creation Whenever he gets a new review in Google My Business, it gets added to Todoist, making it easy to never forget to respond back to customers.
New lead If a new lead comes in from his Facebook Ad campaign, a task is automatically created in Todoist. This helps Juan stay on top of potential business opportunities.
New project When he creates a Google Drive folder for a new project, that project is automatically added to Todoist. It can also work the other way—when he creates a new project in Todoist, a new Google Drive folder is created for all files related to that project.
Task assignments For task assignments, if a new task is created with a specific label designated for him, it will automatically be added to his Google Calendar.
Task communication Whenever a new task appears in Todoist, a message is automatically sent to a specific Slack channel. This keeps the team promptly informed and coordinated without needing to manually relay information, which can possibly lead to miscommunication.
